Administrative Support Assistant £19.5k – £22k

Key Accountabilities:

  • To be responsible for providing an efficient and prompt administrative service to all technical departments, to include:
  • Accurate typing and compilation of client project related emails, reports and any other documents controlled by the Quality Management System (QMS) to the agreed deadlines
  • Ensure stationery requirements are fulfilled for the timely despatch of project related work
  • Booking courier collections, ensuring delivery is completed and the transaction recorded
  • In the absence of technical staff ensure post, emails and messages are dealt with
  • Printing, photocopying, scanning and shredding confidential documents
  • Hotel, conference bookings and travel arrangements
  • Update departmental project lists
  • Maintain CPD records for Technical Directors
  • Finalise timesheets for Technical Directors
  • Organise food and beverages for client meetings
  • Ensure the need for additional administrative support is raised where appropriate.
  • Assist with facilities tasks
  • Weekly replenishment of fruit, milk and stock facilities supplies
  • Replace spent light bulbs
  • Engage external service providers to carry out repairs, grounds maintenance etc.
  • General facilities purchasing as instructed
  • Monitor heating oil gauge and organise timely replenishment
  • Fleet management
  • Manage and organise the timely servicing and MOT tests of company vehicles
  • Organise periodic tyre checks and replacement tyres as required
  • Book in cars for mechanical repair or glass repair/replacement as required
  • Manage pool cars, booking and maintenance
  • Manage the booking and use of hire cars
  • IT support
  • Main liaison with the IT service provider during companywide IT issues
  • Monitor and make changes to the telephone software system when required
  • Liaise with the IT service provider to set up PC profile, email address etc. for new starters
  • Carry out a twice weekly hard drive backup of the servers and store safely off site
  • Providing assistance to cover holidays or sickness absence to include the Assistant to Directors, reception and the filing department.
  • Adhere to all procedures in accordance with the QMS.
  • Carry out audits of the QMS and Health & Safety (H&S) systems.
  • Administer the purchase order system
  • Program and organise internal seminars
  • Maintain and update approved suppliers database
  • Produce monthly Google analytical reports and client project closure reports
  • Filing of committee related documents
  • Assist with H&S administration as instructed
  • Monitor and update the lone working record & follow the reporting procedure
  • Assist with QMS administration as instructed
  • Program and organise staff events/activities
  • Monitor and arrange for the renewal of annual staff subscriptions to committees
  • Monitor and arrange for the renewal of advertisements in publications
  • Maintain a daily timesheet of activities and chargeable work
  • To undertake a range of duties arising out of the overall workload of the Company


Skills, Knowledge and Experience

  • Attention to detail, high degree of accuracy and precision
  • Proficient high speed typing skills
  • Previous administrative support experience
  • IT literate – conversant with Microsoft Office software
  • Word and excel formatting skills
  • Strong autonomous efficiency and organisational skills
  • Ability to prioritise work and meet tight deadlines
  • Excellent professional communication skills
  • Flexible, helpful and friendly can do approach
  • Commitment to high standards of conduct and to the quality of work produced
  • Full driving licence
